Terms of Service

1. Acceptance of Terms

By signing up for RootMail ("the Service"), you agree to these Terms of Service. If you do not agree, you may not use the Service.

2. Description of Service

RootMail is an email marketing platform provided by RootCode BD. The Service includes contact management, email campaign creation and sending, analytics, and related features.

3. Account & Billing

You are responsible for maintaining the security of your account. Billing is manual: invoices are generated on request, payments are accepted via bKash, Nagad, bank transfer, or cash. Activation occurs only after payment verification, typically within 4 business hours of declaration.

Trial accounts are valid for 14 days. After trial expiry, accounts enter a grace period (7 days), then restricted state (7 days), then suspension. Data is preserved for 60 days after suspension before permanent deletion.

4. Acceptable Use

You agree NOT to:

  • Send unsolicited email (spam) — purchased lists are prohibited
  • Send illegal, harmful, or offensive content
  • Use the Service to violate Bangladesh law or international law
  • Attempt to access other customers' data
  • Resell or sub-license the Service without authorization

Violations result in immediate account suspension without refund.

5. Email Deliverability

We use shared and dedicated IP pools. We reserve the right to suspend sending for any account that exceeds spam complaint thresholds (0.3%+) or bounce rates (5%+), to protect deliverability for all customers.

6. Data & Privacy

You retain all rights to your data. We do not sell or share your contact data. See our Privacy Policy for details. We comply with the Bangladesh Data Protection Act 2023 and GDPR where applicable.

7. Refunds

Refund requests are evaluated case-by-case. Prepaid subscriptions are non-refundable except in cases of Service unavailability or proven billing error. See Refund Policy for details.

8. Service Availability

We target 99.9% uptime. We are not liable for outages due to factors beyond our control (ISP failures, force majeure, etc.).

9. Limitation of Liability

The Service is provided "as is". Our maximum liability is limited to the amount you paid in the preceding 3 months.

10. Changes to Terms

We may update these Terms with 30 days' notice. Continued use after changes constitutes acceptance.
